Payment Terms

1. Overview
These Payment Terms govern all financial transactions related to conference registrations and services provided by Nexus Academia. By completing a payment through our registration portal, you agree to these terms.
2. Merchant Information
All payments are collected by:

- Business Type: Academic organization — conference management and scholarly publishing
3. What You Are Paying For
Payments made through Nexus Academia's registration portal are for conference registration fees. This is a one-time payment per conference registration that includes:
- Conference attendance and participation
- Access to all technical sessions scheduled during the conference
- Conference proceedings and materials
- Inclusion of the registrant's accepted paper in the conference proceedings (for author registrations)
- Refreshments, meals, and social events as specified per conference
This is not a subscription service. No recurring charges will be made. Each conference registration is a separate, one-time transaction.
4. Currency
All fees are denominated and charged in US Dollars (USD) unless otherwise specified on a particular conference's registration page. Currency conversion, if applicable, is handled by your bank or payment provider at their prevailing exchange rate.
5. Accepted Payment Methods
Nexus Academia accepts the following payment methods:
- PayPal: Pay using your PayPal balance, linked bank account, or linked credit/debit card. Available to PayPal users worldwide.
- Credit / Debit Card: Visa, Mastercard, and American Express. Card payments are processed securely by 2Checkout (Verifone).
6. Payment Processing
All payment transactions are processed by PCI-DSS compliant third-party payment processors:
- PayPal, Inc. — For PayPal and PayPal-linked payment methods
- 2Checkout (Verifone) — For direct credit/debit card transactions
Nexus Academia does not process, store, or have access to your full credit card number or bank account details. All sensitive financial data is handled exclusively by these payment processors in compliance with PCI-DSS (Payment Card Industry Data Security Standard).
7. Payment Confirmation
Upon successful payment, you will receive:
- An on-screen confirmation page with your receipt number
- An email confirmation sent to the email address provided during registration
- A downloadable and printable receipt
If you do not receive a confirmation email within 1 hour of payment, please check your spam folder and then contact registration@nexus-academia.org.
8. Billing Descriptor
The charge on your credit card or bank statement will appear as one of the following, depending on the payment method used:
- PayPal: "NEXUS ACADEMIA" or "PAYPAL *NEXUSACADEMIA"
- 2Checkout: "2CO*NEXUSACADEMIA" or similar
If you do not recognize a charge, please contact us before disputing it with your bank.
9. Pricing
Registration fees are set on a per-conference basis and are published on each conference page. Prices include:
- The conference registration fee as specified for the selected registration category
Prices do not include:
- Travel expenses
- Accommodation
- Travel insurance
- Visa application fees
- Any applicable taxes or duties imposed by your local jurisdiction
10. Tax
Registration fees are quoted exclusive of any local taxes. Registrants are responsible for any taxes, duties, or similar governmental charges applicable in their jurisdiction. Nexus Academia does not collect sales tax or VAT on registration fees.
11. Failed Payments
If a payment fails:
- Your registration will not be confirmed.
- No charges will be applied to your account.
- You may retry the payment or use an alternative payment method.
- If you continue to experience issues, contact registration@nexus-academia.org for assistance.
12. Refunds
Refund eligibility, conditions, timelines, and procedures are detailed in our Refund Policy. All refunds are processed to the original payment method.
13. Chargebacks
If you believe a charge is incorrect, we strongly encourage you to contact us at registration@nexus-academia.org before initiating a chargeback or dispute with your bank. We are committed to resolving payment issues promptly and fairly.
Unwarranted chargebacks may result in the registrant being barred from future Nexus Academia events.
14. Fraud Prevention
Our payment processors employ advanced fraud detection systems. Nexus Academia reserves the right to cancel registrations that are flagged as potentially fraudulent and to refund the associated payment.
