These Terms of Service ("Terms") govern your use of the website, services, and platforms operated by Nexus Academia ("we," "us," or "our"), an international academic organization that organizes scientific conferences, provides conference management systems (ChairConf), and develops scholarly publishing infrastructure (Nexus Editorial).

By accessing our website at nexus-academia.org or using any of our services, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our services.

2. Services Provided

Nexus Academia provides the following services:

  • Conference Organization: Planning, managing, and executing international scientific conferences.
  • Conference Management (ChairConf): A platform for managing conference submissions, peer review, and editorial workflows.
  • Registration & Payment Processing: Online registration and secure payment collection for conference participation fees.
  • Publishing Infrastructure (Nexus Editorial): Journal publishing platform (in development).

3. User Eligibility

Our services are intended for use by researchers, academics, students, and professionals in the scientific community. By using our services, you represent that you are at least 18 years of age or have the consent of a parent or guardian.

4. Conference Registration

When you register for a conference organized by Nexus Academia:

  • You agree to provide accurate and complete registration information.
  • You are responsible for maintaining the confidentiality of your Submission ID and account details.
  • Registration is considered confirmed only upon successful completion of payment.
  • At least one author per accepted paper must register at the applicable full rate for the paper to be included in the proceedings.

5. Payment Terms

Registration fees are payable in US Dollars (USD) unless otherwise specified for a particular conference. Payments are processed through third-party payment providers (PayPal and 2Checkout). By completing a payment, you also agree to the payment provider's terms of service.

6. Refund Policy

Refund eligibility depends on the timing of the request and the specific conference's deadlines. For complete refund details, please refer to our Refund Policy.

7. Intellectual Property

All content on the Nexus Academia website, including text, graphics, logos, and software, is the property of Nexus Academia or its content providers and is protected by applicable intellectual property laws.

Authors retain copyright of their submitted works. By submitting a paper and completing registration, authors grant Nexus Academia and the relevant conference co-sponsors a non-exclusive license to publish the work in the conference proceedings.

8. Peer Review and Publication

All papers submitted to Nexus Academia conferences undergo peer review by the Technical Program Committee. The decision to accept or reject a paper is made by the program committee and is final.

Papers submitted for publication in co-sponsored proceedings are subject to the co-sponsor's publication policies, including compliance with formatting requirements and plagiarism standards.

9. Code of Conduct

All conference participants are expected to:

  • Conduct themselves professionally and respectfully
  • Respect the intellectual property rights of others
  • Comply with academic integrity standards, including proper citation and original work requirements
  • Follow any venue-specific rules and local regulations

Nexus Academia reserves the right to remove any participant who violates this code of conduct, without refund.

10. Limitation of Liability

Nexus Academia makes every effort to ensure the accuracy of information on this website and the successful execution of its conferences. However, we shall not be liable for:

  • Errors or omissions in website content
  • Service interruptions or technical failures beyond our reasonable control
  • Travel costs or other expenses incurred by participants in the event of conference cancellation or rescheduling
  • Decisions made by payment processors regarding account holds or transaction disputes

11. Conference Cancellation or Modification

Nexus Academia reserves the right to cancel, postpone, or modify conference dates, venues, programs, or formats due to circumstances beyond our reasonable control, including but not limited to force majeure events, public health emergencies, or insufficient registrations.

In the event of cancellation by Nexus Academia, registered participants will be offered a full refund of registration fees or the option to transfer registration to a future event.

12. Privacy

Your use of our services is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information.

13. Modifications to Terms

Nexus Academia reserves the right to update these Terms at any time. Changes will be posted on this page with an updated "Last updated" date. Continued use of our services after changes constitutes acceptance of the modified Terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with applicable laws. Any disputes arising from these Terms shall be resolved through good-faith negotiation. If negotiation fails, disputes shall be submitted to binding arbitration.
